What Information Should I Include in a Fastener RFQ?

A clear RFQ gets you an accurate quotation faster. Here is the information to include — product type, standard, dimensions, material and grade, finish, quantity, packing and destination.

Why a complete RFQ gets you a faster, more accurate quote

Most quotation delays are not caused by production — they are caused by missing information. When a buyer writes “need bolts, M8, best price,” the factory has to ask back: which standard, which length, which grade, which finish, how many, how packed, where to? Each round of questions adds days, and every assumption risks a quotation for the wrong product. A complete request for quotation (RFQ) answers those questions up front, so the factory can price exactly what you need on the first reply.

The checklist below applies to screws, bolts, nuts, washers, anchors and threaded rods alike. You do not need every detail to start a conversation — a reference photo or a sample can fill the gaps — but the more boxes you tick, the more accurate and comparable the quotations you receive.

1. Product type and standard

Name the product in the catalog's language. “Hex bolt DIN 931,” “self-drilling screw DIN 7504,” “nylon-insert lock nut DIN 985” and “expansion bolt GB/T 27704” each point to an exact drawing. Standards remove ambiguity: a DIN 933 fully threaded hex bolt and a DIN 931 partially threaded one share a head but serve different joints. If you work to ASTM, ISO or GB standards instead — for example ASTM A325 structural bolts — say so; factories that serve export markets quote across standard systems every day.

2. Dimensions, head style and thread details

For screws, give the gauge (#4–#14 in the WTFasteners catalog range) or the metric diameter (M3–M36), plus the exact length in millimetres. Head style matters too: hex washer, countersunk, wafer and pan heads are different products made on different tooling. For threaded products, note the thread pitch if it is non-standard, and whether you need full or partial thread. A short dimension string like “DIN 7504-K, #12 × 50 mm, hex washer head” says more than a whole paragraph.

3. Material, grade and finish

Material and mechanical grade decide whether the fastener survives the job. Common export grades are 4.8, 8.8 and 10.9 for bolts, with matched nuts and washers to suit. If the application is corrosive — coastal, agricultural or humid environments — the finish is as important as the grade: bright zinc and galvanized (G.I.) finishes for sheltered use, Dacromet and Ruspert coatings where higher corrosion resistance is required, black oxide for a clean indoor appearance, and hot-dip galvanizing for heavy outdoor steelwork. State the exposure conditions if you are unsure; the factory can confirm the coating option that fits the application.

4. Quantity, packing and destination

Give the quantity per line item and the total — in pieces, cartons or containers. Packing preferences change the quotation: small retail boxes, bulk cartons and private-label packing are all standard export options, each with a different cost. Finally, name the destination country and port, or the delivery terms you buy on. A buyer ordering CIF to a West African port needs a different price than one collecting EXW from Handan, so “best price” is only comparable when everyone quotes the same destination.
